What Are Managed AI Services?

Managed AI services help your organization evaluate, implement, secure and manage the use of artificial intelligence in the workplace.

Artificial intelligence is quickly becoming part of everyday business. Employees are using AI to write, research, analyze information, automate tasks, communicate with customers and access company data. The opportunity is significant, but so are the questions. Which AI tools should your organization use? Which licenses do you need? What information should employees be allowed to share with AI? What company data can an AI platform access? And how do you make sure convenience does not create a new security or compliance problem?

V2 Systems sits between the AI vendors and your business. We help you decide what to use, how to configure it, what data it can see, who should have access, how employees should use it and what risks your organization needs to manage. Managed AI is delivered as an add-on to our Managed IT Services, so the same team that already supports your network, cloud and security is the team guiding your AI adoption.

V2 Systems’ Managed AI Services

AI READINESS & RISK ASSESSMENT

A structured review of your business use cases, approved and unapproved AI tools already in use, Microsoft 365 permissions, sensitive data, licensing, identity, governance, compliance obligations and employee practices. You receive a clear, prioritized set of recommendations that becomes the roadmap for everything that follows.

AI PLATFORM & LICENSING GUIDANCE

Copilot, ChatGPT Enterprise, Gemini, Claude and dozens of embedded AI features in the software you already own — each with its own licensing, data-handling and security implications. We help you choose the right platforms and license tiers for your budget and risk profile, and avoid paying for capabilities you will not use.

MICROSOFT 365 COPILOT READINESS & SECURE DEPLOYMENT

Microsoft recommends addressing oversharing, establishing guardrails and meeting regulatory requirements before broad Copilot deployment. We handle that groundwork — SharePoint and OneDrive permissions, sensitivity labels, data loss prevention and Copilot configuration — and then deploy Copilot in phases with the right controls in place. See our Managed Cloud Services for the Microsoft 365 foundation Copilot runs on.

DATA ACCESS & PERMISSIONS REVIEW

AI tools work across large amounts of information very quickly. We evaluate how your information is stored, shared, classified and protected, and close the gaps so an AI assistant can only surface what each employee is already entitled to see.

AI GOVERNANCE & ACCEPTABLE-USE POLICIES

Practical, plain-language policies that define which AI tools are approved, what information may be entered into them, when AI output must be independently verified and who is accountable. Built on the NIST AI Risk Management Framework and integrated with the policy library from our Managed Compliance Services.

EMPLOYEE AI AWARENESS & SECURITY TRAINING

Technology controls alone cannot make AI safe. We incorporate AI into your security awareness program, onboarding and everyday technology practices — including how attackers now use AI for phishing, impersonation, fraud and social engineering.

AI VENDOR, MODEL & USE-CASE EVALUATION

Before you connect an AI product to company data, we evaluate the vendor, the model, its data-retention terms and the specific business use case through the same risk-based approach we apply to every technology we
recommend to clients.

IDENTITY & ACCESS CONTROLS FOR AI-ENABLED APPLICATIONS

Conditional access, multi-factor authentication, least-privilege roles and monitoring for AI-enabled apps and agents, delivered through the same tooling that powers our Managed Cybersecurity Services.

ONGOING AI GOVERNANCE & REVIEW

AI capabilities and risks change monthly. As part of your managed service we review new features, vendor changes, licensing options and emerging threats on a recurring basis so your AI plan stays current instead of becoming a one-time project.

How it works: The V2 AI Service Lifecycle

AI Can see more than you may realize

One of the most important considerations when introducing AI into a business is data access.

AI tools can work across large amounts of information very quickly. That capability creates value, but an AI system with access to data that an employee should not have can also make existing permission and data-governance problems much more visible. A spreadsheet of salaries sitting in an over-shared SharePoint library, an old HR folder with “Everyone” access, a client contract synced to the wrong OneDrive — an AI assistant will find them in seconds.

Before expanding AI access, V2 Systems helps organizations evaluate how information is stored, shared, classified and protected. The goal is not to keep businesses from using AI. The goal is to help them use it with appropriate controls.

Human Security Still Matters

Technology controls alone cannot make AI safe.

Employees need to understand what information can be entered into AI systems, which AI tools are approved, when AI-generated information needs to be independently verified, and how AI can be used by attackers for phishing, impersonation, fraud and social engineering.

V2 Systems helps organizations incorporate AI into security awareness, onboarding, policies and everyday technology practices.

Current Knowledge for rapidly changing technology

Artificial intelligence is changing too quickly for businesses to treat AI education as a one-time event.

V2 Systems invests in ongoing technical education across AI, cybersecurity, cloud computing, identity, data protection and governance. Our technical teams evaluate emerging AI technologies and vendor capabilities through the same risk-based approach we use when evaluating other technologies for our clients.

V2 Systems maintains current training and credentials in Microsoft Copilot administration, AI security, cloud AI technologies and recognized AI risk-management practices.

WHY ARE ORGANIZATIONS USING MANAGED AI SERVICES?

BECAUSE AI CAPABILITY IS NOW WHAT BUYERS EXPECT FROM THEIR IT PROVIDER

KPMG’s 2026 Managed Services Outlook found that leaders now cite AI capability as their top consideration when selecting a managed services provider, and more than 90 percent view managed services as an essential engine for agentic AI delivery.

BECAUSE SECURITY AND GOVERNANCE ARE NOW PART OF AI IMPLEMENTATION ITSELF

Microsoft’s Copilot deployment guidance tells organizations to address oversharing, establish guardrails and meet regulatory requirements before broad deployment. That is the conversation V2 Systems has been having with clients for years about cloud, identity and data protection — AI simply raises the stakes.

BECAUSE AI CROSSES EVERY PART OF YOUR IT ENVIRONMENT

AI touches your cloud platforms, your security posture, your compliance obligations and the day-to-day managed IT support your staff relies on. One provider that already manages all four can bring AI into your environment without creating a new silo, a new vendor relationship or a new set of gaps.

An extension of the services you already trust

Managed AI is an add-on to your V2 Systems managed service plan, not a separate engagement. Pricing follows the same fixed-cost, one-size-does-not-fit-all approach as our other plans.
  • Managed IT Support — Help desk, monitoring, maintenance and strategic IT leadership — the foundation Managed AI builds on.
  • Managed Cybersecurity — Threat monitoring, EDR, SIEM, vCISO and incident response, now extended to AI-enabled applications and AI-driven attacks.
  • Managed Compliance — NIST SP 800-171, CMMC, HIPAA, PCI DSS, GLBA and ITAR — with AI
acceptable-use and governance folded into your policy library.
  • Managed Cloud Services — Microsoft 365, Azure, GCC and AWS — the platforms where Copilot and
    most business AI actually run.

Frequently Asked Questions About Our Managed AI Services

What is included in V2 Systems’ Managed AI Services?

Managed AI includes an AI readiness and risk assessment, platform and licensing guidance, Microsoft 365 Copilot readiness and secure deployment, data access and permissions review, AI governance and acceptable-use policies, employee AI awareness training, vendor and use-case evaluation, identity and access controls for AI-enabled applications, and ongoing governance reviews. Services are scoped to your organization; you do not have to take every component.

Does V2 Systems build custom AI models or applications?

No. Managed AI focuses on helping you select, configure, secure and govern commercially available AI platforms such as Microsoft 365 Copilot and other business AI tools. If a custom solution is the right answer, we help you evaluate vendors and integrate the result safely into your environment.

We are already using AI. Is it too late for an assessment?

Not at all. Most organizations discover employees are already using AI tools, often unapproved ones. An assessment inventories what is in use, identifies where company data may be exposed and gives you a plan to bring AI use under appropriate controls without disrupting productivity.

How does Managed AI relate to our compliance requirements?

AI does not create a separate compliance regime; it affects the one you already have. We map AI use to HIPAA, CMMC, NIST SP 800-171, PCI DSS, GLBA and other frameworks through our Managed Compliance Services so that AI adoption strengthens, rather than undermines, your compliance posture.

Do we need to buy Microsoft 365 Copilot licenses first?

No. In many cases the right first step is a readiness review of your Microsoft 365 environment rather than a license purchase. We help you determine which users would benefit from Copilot, what needs to be fixed before it is turned on and which license tier makes sense.

Is Managed AI available to organizations that are not V2 Systems managed IT clients?

Managed AI is designed as an add-on to our managed service plans because effective AI governance depends on the identity, cloud and security foundation those plans provide. Contact us to discuss your situation; an AI readiness assessment is often a good starting point for new clients.

What industries does V2 Systems serve with Managed AI?
